Who is who

Rostrium is software that recruitment agencies use to manage candidates, jobs and clients. That gives two different situations:

  • If you applied for a job or sent a resume to an agency (see the next section): the agency decides why and how your details are used. Rostrium stores and processes them for the agency, on its instructions.
  • If you use Rostrium as an agency or team member: Rostrium decides how your account details are used (see “Agencies and their teams”).

If you applied through an agency's form or link

What is collected. What you type into the form (name, email, phone, and any optional fields the agency turned on), your resume, and an optional photo. When you tick the consent box we also keep the time you did, the wording you saw and which link you used.

Why. So the agency can consider you for the role you applied for (or, for a general application, for current and future roles), contact you, and put you forward to the employers it recruits for. Nothing is shared with an employer unless the agency chooses to put you forward.

AI. Your resume text may be read by an AI system to pull out your skills and experience and to give the recruiter a fit score. A person at the agency makes the decisions; the score is a guide for them. If an agency phones you using AI screening, the call begins by saying it is an AI calling for the agency and that the call is recorded.

How long. The agency decides how long to keep your details and can delete them. Deleted records stay in the agency's Trash until they remove them permanently.

Your choices. You can ask the agency to show you what it holds, correct it, or delete it, and you can withdraw your consent at any time. Write to the agency you applied to. If you cannot reach them, write to us at hello@rostrium.com with the email address and the agency's name, and we will pass your request on and help it get done. You can also complain to us, and later to the Data Protection Board of India once it is operating.

Age. You must be 18 or older to apply. If you are younger, please do not use the form.

Agencies and their teams

For people who sign up to use Rostrium we keep your name, email, role, the permissions your team gave you, what you do in the product (an activity log), and billing details through our payment provider. We use them to run your account, keep it secure, support you, and bill you. We do not sell personal data.

Agencies are responsible for the candidate and client data they put into Rostrium: having a lawful reason to hold it, telling people about it, and answering their requests. We provide tools for this (a consent record on each applicant, deletion and Trash, exports) and a data processing agreement on request.

Companies that help us run Rostrium

We use the following service providers. Some of them are based or process data outside India.

  • Supabase — Database and file storage (your details, resumes)
  • Vercel — Hosting and basic visit statistics for this website
  • Anthropic — AI that reads resumes, scores fit and drafts messages. Resume text is sent to it when this is run
  • Resend — Sending email on an agency's behalf
  • OmniDimension — AI screening phone calls, where an agency uses them (the call is recorded)
  • Razorpay — Payments for agency subscriptions. Candidates are never charged

Security and problems

Access to candidate data is limited by each team's permissions, connections are encrypted, and candidates' sensitive fields can be hidden from team members who should not see them. If personal data in Rostrium is lost or exposed, we will tell the affected agencies without delay so that they, and we, can meet our duties to the people concerned and to the authorities.
